Sending Invoices

View, filter, and send invoices

    Prerequisites:

  • Buyer must have an email address for email delivery
  • Buyer phone number is helpful for WhatsApp but not required — Quick Send works even without it

Methods:

1. WhatsApp Quick Send (recommended, no setup required): The fastest way to share invoices with customers. Works on every plan, every device — no Meta Developer account, no API keys, no configuration.

*How It Works:* 1. Open any invoice from your Invoices page 2. Click the green WhatsApp button on the invoice detail page 3. If the buyer has a phone number saved, WhatsApp opens with that contact pre-selected 4. If no phone number is saved, WhatsApp opens and lets you pick any contact yourself 5. The message is pre-filled with all invoice details — just hit Send

    *What Your Customer Receives:*

  • A professional, formatted message from your WhatsApp number containing:
  • - Your business name and a greeting (personalized if buyer name is saved)
  • - Invoice number and total amount (formatted in the correct currency)
  • - Due date (if set on the invoice)
  • - Direct PDF download link — customer taps to instantly view/download the invoice PDF in their browser (no login required)
  • - Verification link — customer can verify the invoice authenticity via your public verification page with QR-based cryptographic proof

    *Key Features:*

  • Zero configuration — works out of the box, no integrations to set up
  • Sends from your personal WhatsApp — customers see your real number, building trust
  • PDF link included — customers can download the full invoice PDF directly from the message
  • Verification link included — customers can verify the invoice is authentic and untampered
  • Works without buyer phone — if no phone is saved, you simply pick the contact in WhatsApp
  • Activity logging — each Quick Send is logged in the invoice's Activity Timeline
  • All currencies supported — amounts are formatted with the correct symbol and locale

*When to Use Quick Send vs Cloud API:*

  • Quick Send: Perfect for most businesses. Simple, personal, no setup. Use this if you send invoices manually.
  • Cloud API: Use only if you need fully automated sending (e.g., self-billing portals) or send 50+ invoices daily.

    2. Email Delivery:

  • Requires SMTP configuration in Settings
  • Click the email button on invoice detail page
  • Invoice PDF is attached automatically

    3. WhatsApp Cloud API (automated, advanced):

  • Optional alternative to Quick Send
  • Requires WhatsApp Cloud API configuration in Settings
  • Sends invoices automatically without opening WhatsApp
  • Best for high-volume sellers or self-billing portal automation

    Auto-Send Feature:

  • Enable in Settings → Preferences
  • Invoices are automatically sent when created (uses Email and/or Cloud API)
  • Send buttons are hidden when auto-send is enabled
  • Note: Auto-Send uses Cloud API, not Quick Send

    Manual Send:

  • Use action buttons on invoice detail page
  • Or use quick actions in the invoices table
